Privacy Policy

FITWithRCMC — for visitors to this site and clinics evaluating or licensing the platform
Last updated: September 3, 2026

This policy covers this website (fitwithrcmc.com) and information we collect from clinics and prospective clinics. If you're a patient using the FITWithRCMC app, see our patient Privacy Policy instead — patient health data is governed there and by the Business Associate Agreement each Clinic signs with us.

1. Information We Collect

  • Contact and business information: name, business name, email, phone, and estimated patient volume when you request a demo or sign up.
  • Billing information: processed through our payment provider (GoHighLevel/Stripe). We do not store your card details ourselves.
  • Site usage data: pages visited, general analytics, and cookies used to operate this site.

2. Cookies & Analytics

This site uses essential cookies required for the site to function, and analytics cookies to understand how visitors use the site so we can improve it. We do not use cookies to serve third-party advertising. You can control cookies through your browser settings; disabling them may affect how the site functions.

3. How We Use It

  • To respond to demo requests and set up your Clinic's account.
  • To process billing for your license.
  • To communicate with you about your account, product updates, and support.
  • To send marketing communications about FITWithRCMC, if you've opted in.

We do not sell this information, and we don't use it for third-party advertising.

4. Who We Share It With

  • Our payment processor, to handle billing.
  • Our CRM (GoHighLevel), to manage sales and support communication with you.
  • Law enforcement or legal process, only when required by law.

5. Data Retention

We retain your business contact and billing information for as long as your account is active and as needed for our own recordkeeping and legal obligations.

6. Security

We maintain reasonable technical and organizational safeguards for the information described in this policy. See our Security & Compliance page for details on how we protect data more broadly, including PHI handled under a signed BAA.

7. Marketing Communications

If you receive marketing emails from us, you can unsubscribe at any time using the link in the email or by contacting us directly. Unsubscribing from marketing doesn't affect account or billing communications tied to an active license.

8. Your Choices & State Privacy Rights

Contact us to update your business information, unsubscribe from marketing communications, or ask about what we hold on your Clinic. If you are a California resident, you may have additional rights under the CCPA, including the right to know what personal information we collect and to request deletion; contact us to exercise these rights. Residents of other states with similar privacy laws may have comparable rights — contact us and we'll respond consistent with applicable law.

9. Children's Privacy

This site is intended for business use by clinics and medical practices and is not directed at children. We do not knowingly collect information from anyone under 18 through this site.

10. Changes

We may update this policy from time to time. We'll note the "Last updated" date above when we do.
